- Code set design. How many excused and unexcused codes exist, and whether staff can distinguish an unverified absence from a verified excused one. Overly broad code sets produce inconsistent data across buildings.
- Daily versus period attendance. Elementary schools usually take a single daily attendance; secondary schools take it per period. Chronic absenteeism math depends on which model your state uses.
- Partial-day rules. How many minutes constitute a half-day absence, and whether partial-day time aggregates toward truancy thresholds. Some states count truancy in hours, which makes this setting legally significant.
- Recalculation windows. How long a teacher or clerk can amend a code, and whether the amendment flows back through to the notification and analytics layers.
2. Standalone attendance and tardy systems
These are the point solutions a high school buys when the SIS cannot handle the volume and speed of hallway operations: badge or ID scanning at entry, tardy kiosks, digital hall passes, and period-level sweeps. They exist because taking accurate secondary attendance at scale is an operations problem, not a data problem.
The evaluation question is integration, not features. If the standalone tool writes back into the SIS automatically and on a known schedule, it extends your system of record. If it does not, you have created a second attendance data set, and staff will eventually disagree about which one is correct. Ask specifically whether write-back is real time, batched nightly, or manual, and what happens when a code is later amended in the SIS.
3. The notification layer
The notification layer turns attendance events into family contact. This layer is where attendance data reaches families, and attendance data no family ever sees changes nothing. 4. Early warning and analytics

Two definitions must be right here or every number downstream is wrong. Ask vendors which data standards they support rather than whether they integrate. Named standards are verifiable; the word integration is not.

Privacy and vendor obligations
Attendance records are education records under the Family Educational Rights and Privacy Act, 20 USC 1232g and 34 CFR Part 99. A vendor processing them generally operates under the school official exception at 34 CFR 99.31(a)(1), which requires the vendor to be under the district's direct control regarding use and maintenance of the data and to use it only for the authorized purpose.
